Introduction

Understanding Problem Statement

As a professional, managing emails can be difficult. When you receive 20 or more emails from coworkers, your child's school, the manager, social media, and so on. It is mentally demanding for individuals to wake up and manage with all of these emails. Manually filtering urgent and unnecessary emails is a challenge in itself.

Problem

Problem #1

Unable to distinguish urgent mails and unimportant mails

Finding work mail that is relevant to a problem that needs to be fixed as soon as possible is difficult due to the 20+ newsletters and various emails that we receive each day. As a result, it consumes considerably more time.

Problem #2

Organizing mail is difficult and confusing

Finding work mail that is relevant to a problem that needs to be fixed as soon as possible is difficult due to the 20+ newsletters and various emails that we receive each day. As a result, it consumes considerably more time.

user persona

Lets understand who are our ideal users are and what do they usually do.

We focused on identifying what is the job that our customers do and how they can use our product to enhance productivity.

USER 1- THE BUSY FREELANCER

A busy freelancer looking to organize their inbox. As heaps of emails accumulated in their inbox while they were working on three projects at once.

job-to-be-done

When I start work, I want emails from different clients to be categorized so that I can figure out their problems in an organized manner and get started as soon as possible.

USER 2- THE BUSINESS OWNER

Managing multiple divisions and operations within an organisation is time-consuming and energy-intensive. Since the majority of their time is spent on calls and meetings. It is crucial to understand which are important and which are not.

job-to-be-done

Along with my hectic schedule, I'd like to organise emails from project participants and emails from other departments so that I can efficiently follow progress and promptly resolve any issues that arise.

USER 3- THE STUDENT

As a young hustler on their approach to realising their aspirations. They have subscribed to numerous websites and newsletters. In addition to their academic emails, they receive emails from their colleagues and shopping notifications. Everything is chaotic.

job-to-be-done

I wish to read my entrepreneurial newsletter in the morning without having to filter them out from all the mails that I have subscribed.

Design process

Understanding the problem

Before designing, I spent a significant amount of time researching the topic and identifying all of the potential pain points and challenges that users face. Once I had a solid knowledge, it was time to brainstorm ideas.

Research

I conducted a few direct interviews with potential users with similar personas. The majority of the users were from my university and freelancers whom I knew. Apart than that, I used chatGPT to acquire further information.

User Flow

I developed a userflow for the programme to verify the flow of all screens. After completion, I double-checked to see if there were any misunderstandings that could disrupt the flow of the application for our users.

Color and Typography

I utilised a previously used database and did some experiments to evaluate how well the colours and text worked.

Wireframing

created low-fidelity designs to get an idea of how the app will look. Retested userflows by prototyping wireframes to check that there were no issues with the flow of screens while the user navigated.

Iterations

While designing the interface, I went through numerous versions to develop a more effective and straightforward interface that avoided visual clutter and potential confusion.

final designs

As a professional, managing emails can be difficult. When you receive 20 or more emails from coworkers, your child's school, the manager, social media, and so on. It is mentally demanding for individuals to wake up and manage with all of these emails. Manually filtering urgent and unnecessary emails is a challenge in itself.

Dashboard and View group

The top card provides a quick overview of mail's status. The user can read all of the emails from the contacts they have grouped together by clicking on a group, which takes them to group view. We can add or remove users by pressing on their photos. Users can add contacts with the click of the plus CTA button located in the bottom right corner.

Creating a group

I included the necessary features that a user will require while building a custom group in order to reduce confusion. We can prevent non-urgent groups from piling up at the top by making the group's priority high.

Favorites

Users can choose all of their favourite contacts and keep them in one location with the favourites tab. Following the contact card's click. The user will get access to all of their sent emails in one location.

Searching feature

The search bar will sort through every element that has that particular keyword. I have inserted a category tag directly beneath the search box, allowing the application in precisely identifying the user's demands. For example, users can click on the group tag while searching for a group name, and the app will retrieve results about groups.
